1. Introduction
Rocky’s Worldwide Transportation (“Rocky’s Worldwide,” “Rocky’s,” “we,” “us,” or “our”) is committed to protecting the privacy, confidentiality, and security of personal information entrusted to us.
This Privacy Policy describes how we collect, use, process, disclose, retain, and protect personal information in connection with our worldwide ground transportation services and related operations, including our website, mobile applications, reservation and dispatch platforms, telephone services, email, text messaging, customer support, corporate travel programs, and other digital and communication channels through which our services are provided (collectively, the “Services”).
Our Services support individual travelers, corporations, executive offices, travel management companies, travel agencies, meetings and events, hotels and hospitality organizations, private aviation, and other organizations requiring professionally managed ground transportation. Transportation may be reserved directly by a passenger or on a passenger’s behalf by an employer, executive assistant, travel manager, travel management company, travel agency, hotel, concierge, meeting or event organizer, or another authorized party.
This Privacy Policy applies to personal information processed by Rocky’s in connection with our Services, whether transportation is provided directly by Rocky’s or coordinated through a transportation provider within our worldwide service network.
We process personal information only for legitimate transportation, operational, business, security, and legal purposes as described in this Privacy Policy. We seek to collect and retain information that is reasonably necessary and proportionate to those purposes.
Rocky’s does not sell personal information for monetary compensation.
2. Information We Collect and Process
The information we collect depends on your relationship with Rocky’s, how you interact with us, how transportation is arranged, and the Services requested.
Information provided directly by you or by an authorized party may include your name, preferred name, telephone number, email address, mailing or billing address, employer or organization, job title, account credentials, customer or traveler profile information, communication preferences, authorized booker information, and other information necessary to establish or administer your relationship with Rocky’s.
When transportation is requested, we may process information reasonably necessary to quote, arrange, manage, dispatch, monitor, and complete the service. This may include passenger names, pickup and destination locations, reservation dates and times, stops, passenger count, vehicle requirements and preferences, luggage information, airline and flight information, airport and terminal information, private aviation or FBO information, hotel or venue information, meet-and-greet instructions, accessibility or mobility assistance information voluntarily provided to us, special service instructions, reservation modifications, waiting time, cancellations, and reservation and trip history.
For corporate and managed travel relationships, we may also process company information, authorized traveler and booker information, executive assistant or travel manager information, departments, cost centers, project, matter or reference numbers, purchase order information, travel policy information, negotiated program information, billing arrangements, invoices, receipts, and reservation history.
When you use our website, mobile applications, or other digital Services, certain technical and usage information may be collected automatically. This may include IP address, browser type and version, device type, operating system, device identifiers, application version, language settings, referring and exit pages, pages viewed, dates and times of access, session duration, interactions with our Services, application performance, diagnostic information, crash reports, and general geographic information derived from an IP address.
We may also process information contained in communications with Rocky’s, including telephone communications, emails, text messages, website forms, reservation communications, customer-support requests, complaints, service reports, surveys, feedback, reviews, and other correspondence.
3. How We Collect Personal Information
We collect personal information directly from you when you request a quote, create or use an account, establish a traveler profile, make or modify a reservation, make a payment, communicate with our team, use our website or mobile applications, participate in a corporate travel program, or otherwise interact with our Services.
Because transportation is frequently arranged on behalf of another traveler, we may also receive information from employers, corporate travel departments, executive assistants, administrative assistants, travel managers, travel management companies, travel agencies, hotels, concierges, meeting and event organizations, private aviation providers, family members, and other persons or organizations authorized to arrange transportation.
We may receive information from third-party service providers and other appropriate sources when necessary to provide or support the requested Services. For example, flight and aviation information may be obtained from appropriate information providers to monitor an arrival or departure; payment processors may provide transaction status or limited payment information; and transportation technology providers may provide information necessary for dispatch, mapping, navigation, communications, or trip management.
If you provide personal information concerning another individual, you represent that you are authorized to provide the information as necessary for the requested transportation or related Services.
4. How We Use Personal Information
Rocky’s processes personal information primarily to provide and administer worldwide ground transportation. This includes preparing quotes; creating, confirming, modifying, and managing reservations; maintaining customer, traveler, and corporate profiles; dispatching vehicles and chauffeurs; coordinating pickups, stops, and destinations; monitoring flights; coordinating airport and private aviation transportation; administering meet-and-greet requirements; communicating chauffeur and vehicle information; providing trip-status information; processing transactions; preparing invoices and receipts; administering corporate accounts and travel programs; and providing customer support.
We may also process information to maintain service and operational standards, coordinate transportation providers, investigate service concerns, improve reservation and dispatch processes, analyze and improve our digital Services, develop new capabilities, maintain business and financial records, prevent fraud and unauthorized transactions, protect passengers, customers, chauffeurs, personnel, systems and property, maintain information security, enforce agreements and policies, resolve disputes, establish or defend legal claims, and comply with applicable legal and regulatory requirements.
Where permitted by law, we may use information to communicate with customers and business contacts regarding our Services, corporate programs, service developments, company information, and other relevant business communications.
We may create aggregated, anonymized, or de-identified information for analytics, operational planning, service improvement, research, security, and other lawful business purposes. Where required by law, we will not attempt to re-identify information maintained as de-identified.
5. Corporate Travel, Authorized Bookers and Passenger Information
Rocky’s operates within a managed travel environment in which transportation is frequently arranged by one person or organization for another traveler. A passenger therefore does not necessarily need to provide information directly to Rocky’s for us to process information relating to that passenger.
Where transportation is arranged through an employer, corporate account, executive office, travel management company, travel agency, executive assistant, hotel, concierge, meeting or event organization, or another authorized party, we may receive and process information reasonably necessary to provide and administer the requested Services.
The organization or individual arranging transportation may also receive appropriate information concerning reservations made under its account or authority, including reservation status, trip details, receipts, invoices, charges, service information, and other information reasonably necessary to administer the applicable travel program or business relationship.
Where another organization independently determines how and why personal information is processed, its privacy practices are governed by its own policies and legal obligations. This Privacy Policy governs Rocky’s processing of personal information.
6. Worldwide Transportation and Service Providers
Rocky’s provides ground transportation services in markets worldwide. Depending on the location, vehicle requirements, service requirements, and circumstances of a reservation, transportation may be provided directly by Rocky’s or coordinated through a transportation provider within our worldwide service network.
When another transportation provider is involved in fulfilling a reservation, we may provide information reasonably necessary to perform the requested service. This may include passenger identification and contact information, pickup and destination information, reservation date and time, flight information, passenger count, vehicle requirements, meet-and-greet instructions, and other relevant service instructions.
We seek to limit information provided to transportation providers to information reasonably necessary to fulfill the reservation, maintain service standards, protect safety, address service issues, or satisfy applicable legal requirements.
Rocky’s may also engage technology, professional, and operational service providers supporting functions such as reservation and dispatch technology, mobile applications, cloud infrastructure, website hosting, payment processing, communications, flight information, mapping and navigation, customer support, accounting, analytics, cybersecurity, fraud prevention, data storage, software development, and other functions necessary to operate our business.
Where a service provider processes personal information on our behalf, we expect the provider to protect that information appropriately and process it consistently with applicable contractual and legal requirements.
7. Website, Mobile Applications, Cookies and Digital Technologies
Our websites, mobile applications, and other digital Services may use cookies, local storage, pixels, software development kits, analytics tools, and similar technologies to provide functionality, maintain secure sessions, authenticate users, remember preferences, maintain reservation progress, understand how our Services are used, measure performance, diagnose technical issues, prevent fraud, protect our systems, and improve the customer experience.
Certain technologies may be necessary for the operation and security of our digital Services. Others may support functionality, preferences, analytics, performance measurement, and, where used and legally permitted, marketing or advertising activities.
Depending on your browser, device, jurisdiction, and applicable law, you may be able to manage certain technologies through browser settings, device permissions, cookie controls, or privacy controls made available through our Services. Disabling certain technologies may affect the availability or functionality of portions of our Services.
Where applicable law requires consent before certain cookies or similar technologies are used, we will request appropriate consent. Where applicable law provides an opt-out right, we will provide an appropriate means of exercising that right.
8. Location Data, GPS, Flight Information and Transportation Technology
Accurate location and travel information are integral to ground transportation operations. Rocky’s may process pickup and destination locations, vehicle and chauffeur location information, trip routes, estimated arrival information, GPS information, and other transportation-related location data when reasonably necessary to coordinate, monitor, and provide Services.
Location information may be used to coordinate pickups, support dispatch operations, determine vehicle arrival, provide estimated arrival and trip-status information, enable live trip tracking where available, assist customer support, protect passenger and chauffeur safety, maintain service quality, prevent fraud, and investigate service incidents.
Where a mobile application requires permission to access device location, you may generally manage that permission through your device settings. Certain location-dependent functionality may not operate properly if access is disabled.
For airport transportation, we may process airline, flight number, scheduled and actual arrival or departure information, delays, cancellations, airport and terminal information, connection information, and other flight-related information reasonably necessary to coordinate the reservation.
9. Payment and Transaction Information
Rocky’s processes billing and transaction information as reasonably necessary to authorize and process payments, administer corporate and direct-billing arrangements, prepare invoices and receipts, process refunds, address payment disputes or chargebacks, prevent fraud, maintain financial records, and satisfy accounting, tax, contractual, and legal requirements.
Payment transactions may be processed through authorized third-party payment systems. Depending on the payment method and technology involved, Rocky’s may receive limited payment information rather than complete payment-card credentials.
Payment and transaction information is used only for legitimate transaction, accounting, security, fraud-prevention, legal, and business-administration purposes.
10. Communications, SMS and Telephone Services
Rocky’s may communicate with passengers, customers, corporate clients, authorized bookers, and travel partners regarding active, upcoming, or completed Services. Communications may include reservation confirmations and modifications, chauffeur assignments, chauffeur contact information, vehicle information, pickup instructions, flight-related information, chauffeur en-route and arrival notifications, trip-status updates, cancellation notices, payment confirmations, receipts, customer-support communications, and account or security notices.
When you provide a mobile telephone number, we may use that number for service-related text communications. Message and data rates may apply depending on your carrier and service plan.
Where required by law, promotional text messages will be sent only with appropriate consent. Consent to receive promotional text messages is not a condition of purchasing transportation services. Opting out of promotional communications does not prevent Rocky’s from sending transactional or service-related communications permitted by law.
Telephone, audio, or video communications may be monitored, recorded, or transcribed where permitted by applicable law for reservation accuracy, customer service, quality assurance, training, safety, security, fraud prevention, dispute resolution, compliance, or service improvement. Where applicable law requires notice or consent, we will provide the required notice or obtain the required consent.
11. Marketing Communications
Where permitted by applicable law, Rocky’s may communicate with customers and business contacts regarding transportation services, corporate travel programs, service developments, company news, events, promotions, and other relevant information.
Recipients may unsubscribe from promotional email communications through the unsubscribe mechanism provided in the communication or another method made available by Rocky’s.
Marketing preferences do not affect communications reasonably necessary to administer reservations, transactions, accounts, corporate relationships, security matters, or customer-service requests.
12. How We Disclose Personal Information
Rocky’s may disclose personal information to transportation providers, authorized corporate clients and travel arrangers, payment processors, technology providers, professional advisers, and other service providers when reasonably necessary to provide our Services, administer an authorized business relationship, protect our operations, or fulfill another legitimate business or legal purpose.
We may also preserve, use, or disclose information where reasonably necessary to comply with applicable law, regulation, subpoena, warrant, court order, legal process, or lawful government request; protect the rights, safety, security, or property of Rocky’s, our passengers, chauffeurs, personnel, business partners, or others; investigate suspected fraud, unlawful activity, or security incidents; enforce agreements or policies; respond to emergencies; or establish, exercise, or defend legal claims.
Information may also be disclosed or transferred in connection with an actual or proposed merger, acquisition, financing, restructuring, sale of assets, reorganization, bankruptcy, change of control, or similar corporate transaction, subject to applicable law.
Rocky’s does not sell personal information for monetary compensation. Certain privacy laws define “sale,” “sharing,” or “targeted advertising” more broadly than an exchange for money. If an activity conducted by Rocky’s falls within such a definition, we will provide any disclosure, consent mechanism, or opt-out right required by applicable law.
13. Data Retention
Rocky’s retains personal information only for as long as reasonably necessary and proportionate to provide our Services, maintain customer and business relationships, fulfill the purposes described in this Privacy Policy, and satisfy legitimate contractual, accounting, tax, insurance, security, regulatory, and legal requirements.
The appropriate retention period varies according to the nature of the information, our relationship with the individual or organization, and the purpose for which the information is processed. Information may also be retained where reasonably necessary for payment processing, fraud prevention, chargebacks, dispute resolution, litigation, preservation of evidence, regulatory requirements, or applicable statutes of limitation.
When personal information is no longer reasonably required, we may delete, de-identify, anonymize, aggregate, or otherwise securely dispose of it in accordance with applicable requirements and our information-management practices.
14. Information Security
Rocky’s maintains reasonable administrative, organizational, physical, and technical safeguards designed to protect personal information against unauthorized access, acquisition, use, disclosure, alteration, misuse, loss, or destruction.
Our safeguards are designed to be appropriate to the nature of the information and the risks associated with its processing and may include secure transmission technologies, encryption where appropriate, authentication and access controls, network and endpoint protection, security monitoring, vulnerability and patch-management practices, backup and recovery procedures, vendor controls, employee access restrictions, and security-awareness practices.
Access to personal information is intended to be limited to personnel and service providers with a legitimate business need for that information.
No internet transmission, wireless communication, electronic storage system, or information-security measure can guarantee absolute security. Accordingly, although we maintain safeguards designed to protect information, we cannot guarantee that unauthorized access, disclosure, loss, or another security incident will never occur.
15. Your Privacy Rights and Choices
Depending on where you reside and applicable law, you may have rights concerning personal information processed by Rocky’s. These may include rights to confirm whether we process information about you, access or obtain a copy of that information, correct inaccuracies, request deletion, obtain certain information in portable form, restrict or object to certain processing, withdraw consent where processing is based on consent, and opt out of certain legally defined sales, sharing, targeted advertising, or profiling.
Privacy rights are subject to applicable definitions, exceptions, verification requirements, and other legal limitations. Rocky’s may retain information notwithstanding a deletion request where retention is reasonably necessary or legally permitted to complete a transaction, provide requested Services, maintain required financial or tax records, detect or prevent fraud, maintain security, resolve disputes, comply with legal obligations, or establish, exercise, or defend legal claims.
To protect personal information, we may verify your identity before processing certain requests. Where permitted by applicable law, an authorized agent may submit a request on your behalf, subject to appropriate verification of the agent’s authority and, where required, your identity.
We will respond to verified privacy requests within the periods required by applicable law and will not unlawfully discriminate or retaliate against an individual for exercising an applicable privacy right.
16. U.S. State Privacy Rights
Residents of certain U.S. states may have additional privacy rights. The availability and scope of those rights depend upon the applicable jurisdiction, statutory thresholds and exemptions, the nature of our relationship with you, and the processing involved.
Where applicable, these rights may include access, correction, deletion, portability, and rights to opt out of certain legally defined sales, sharing, targeted advertising, or qualifying profiling. Certain laws may also provide a right to appeal a decision concerning a privacy request.
Colorado residents may have rights under the Colorado Privacy Act where applicable, including rights concerning access, correction, deletion, portability, targeted advertising, sale of personal data, and certain profiling.
California residents may have additional rights under the California Consumer Privacy Act (“CCPA”), as amended, where applicable. Categories of personal information Rocky’s may process include identifiers, customer-record information, commercial and transaction information, internet or electronic-network activity, geolocation information, professional or employment-related information, communications, and other information supplied in connection with our Services. Where applicable, California residents may have rights to know, access, correct, or delete certain personal information, opt out of qualifying sale or sharing, limit certain uses or disclosures of sensitive personal information, and receive equal treatment when exercising applicable privacy rights.
Where Rocky’s is subject to another U.S. state privacy law, we will process qualifying requests and provide required rights in accordance with that law.
Where applicable law requires recognition of a legally recognized universal opt-out mechanism or privacy preference signal, Rocky’s will process supported signals as required by law.
17. Sensitive Personal Information
Certain information processed in connection with transportation may constitute sensitive personal information or sensitive data under applicable law. Depending on the circumstances, this may include precise location information, account authentication or payment-related information, and accessibility or other information voluntarily supplied to enable us to provide requested assistance.
Rocky’s processes sensitive information only when reasonably necessary and legally permitted for transportation, payment, security, safety, legal compliance, or another authorized purpose. Where applicable law requires consent before sensitive information is processed, we will obtain the required consent.
We encourage passengers and authorized bookers not to provide sensitive personal information that is unnecessary for the requested Service.
18. International Processing and Cross-Border Data Transfers
Rocky’s provides transportation services worldwide. Personal information may therefore be accessed, transferred, stored, or otherwise processed in the United States and in other countries where Rocky’s, transportation providers, technology providers, or other service providers operate.
Privacy and data-protection laws differ among jurisdictions, and another country may provide protections different from those available in your home jurisdiction.
Where applicable law requires safeguards for an international transfer of personal information, Rocky’s will use an appropriate legally recognized transfer mechanism, contractual safeguard, adequacy mechanism, or other measure permitted by applicable law.
19. Additional Information for EEA, United Kingdom and Swiss Residents
Where the General Data Protection Regulation (“GDPR”), UK GDPR, or comparable applicable European data-protection requirements apply, Rocky’s processes personal data under an appropriate lawful basis and in accordance with applicable data-protection requirements.
Depending on the circumstances, processing may be necessary to perform a contract or take steps at your request before entering into a contract; comply with a legal obligation; pursue legitimate interests relating to transportation operations, customer service, safety, fraud prevention, information security, business administration, and improvement of our Services; protect vital interests; or process information based upon consent where consent is required.
Subject to applicable law, individuals may have rights to obtain information about our processing, access personal data, correct inaccurate data, request erasure, restrict processing, object to certain processing, receive certain data in portable form, withdraw consent, object to direct marketing, and lodge a complaint with the competent data-protection authority.
Where processing is based upon consent, withdrawal of consent does not affect the lawfulness of processing undertaken before withdrawal.
Certain reservation, dispatch, billing, fraud-prevention, communication, and operational processes may involve automated technology. Where applicable law provides rights concerning decisions based solely upon automated processing that produce legal or similarly significant effects, Rocky’s will honor those rights as required by law.
20. Children’s Privacy
Rocky’s Services are not directed to children for independent account creation or independent purchase of transportation.
We may process information concerning a minor when transportation is lawfully arranged by a parent, guardian, school, organization, employer, travel arranger, or another person authorized to arrange the service.
We do not knowingly solicit personal information from children for independent marketing purposes. If you believe information concerning a child has been provided to Rocky’s improperly, please contact us.
21. Third-Party Websites and Services
Our websites, applications, emails, or other digital Services may contain links to websites, applications, platforms, or services operated independently by third parties.
Those third parties maintain their own privacy, security, and information-handling practices. This Privacy Policy governs Rocky’s processing of personal information and does not govern the independent activities of third-party websites or services.
We encourage users to review the privacy practices of third-party services before providing personal information to them.
22. Changes to This Privacy Policy
Rocky’s may update this Privacy Policy periodically to reflect changes in our Services, technology, business operations, privacy practices, or applicable legal and regulatory requirements.
When this Privacy Policy is updated, we will revise the “Last Updated” date displayed at the beginning of the policy. Where applicable law requires additional notice of a material change, we will provide such notice in an appropriate manner.
We encourage you to review this Privacy Policy periodically for current information concerning our privacy practices.
